Kick-off: The first steps are always taken together

The beginning is decisive to the success of any project. This is why a kick-off meeting is always the first step in the common project planning path. It’s an opportunity for all project participants to get to know each other and discuss the following points:

  • What are your requirements for the solution to be developed?
  • What do you want to achieve and what should be avoided?
  • How can we work together to efficiently develop the ideal solution for you?
  • What are the risks and how can we avoid running into problems?
  • When do you expect which delivery results?
  • What are the key dates, deadlines and milestones?
  • If we have already worked together: what did we learn from the previous project(s)?

Every solution is developed and calculated step by step with you. We have many solutions in mind, but your specific needs dictate our work and approach.

The project team: Always there for you

Your project is run and supervised by a team of qualified employees, who manage your requirements closely and who are well versed in the tools and methods used. The team calculates the project, schedules resources and monitors the results and budget. We handle your time carefully. You will receive clear, transparent invoices of our services and status updates on a regular basis.

With us, no one works alone on a project: at least two team members are always there for you. This way, we can guarantee knowledge exchange, reliability in the case of holidays or sick leave, and ultimately, we can also increase the quality of our work. Moreover, we work according to the principle of dual control: this means that a colleague always checks a team member’s work for errors or possible improvements. If we need a specialist for a particular topic, e.g. programming, we bring them into the team for a limited time to take on the specific task.

Depending on your specific needs and technical requirements, our team members will work either at your site or from one of our locations. Even a combined operation is possible.

Project management: Step by step to success

Every one of our teams has a project manager who acts as a main contact person for you on matters pertaining to content and project organization.

At the beginning of the project, we agree on a method of task tracking. For example, we can use the developer’s issue tracker so that developers and editors can work together optimally. Alternatively, we work with our ticket system or use simple means such as Excel lists for task tracking. All expenses are recorded per task in our ERP system.

We often use agile methods such as Scrum and Kanban. Depending on duration and complexity, we divide a project into shorter phases – with a milestone at the end of each phase. This way, we reduce project complexity and at the end of a phase, we can check whether we have achieved the planned goals. If this isn’t the case, we are in a position to reorient at an early stage. This allows us to avoid having missed targets dragging through the entire project – and even endangering the project.

Everything is well documented and secured

We record and log all agreements and meetings with you to monitor the progress of tasks, to document decisions, and to ensure that our actual work is consistent with the content of our offer. Thanks to our project documentation, new team members can also quickly familiarize themselves with the project.

This project documentation represents the knowledge memory and resource for all project participants. Often, it will be the basis for knowledge transfer as the project comes to completion so that you can continue to work successfully and independently.

Of course, we handle your customer data in strict confidence and secure it against unauthorized access. This is why our information management system is ISO 27001 certified.

Project completion: Until our next joint success

Every project ends with a retrospective assessment. We discuss how the collaboration went, how satisfied you are with our work and if there is room for improvement. This is an opportunity for everyone involved to learn from mistakes, as well as to offer praise. After all, we took on an important project together.
